Usage Guidelines - Visitor's Hostel/Community Centre
Accommodation charges are levied on 24 hrs basis based on the standard Check-in and Check-out time.
Single Room refers to the single occupancy room.
Double Room refers to the double occupancy room.
Charges for accommodating an additional person in the room will be Rs. 500/- per day.
Only one additional person can be accommodated in a room.
Child above 10 years age will be considered as an adult.
Allotment of Suite rooms and Studio rooms is subject to the approval of the Director.
GST will be charged on the invoice value as per rules.
A minimum of 3 suite rooms shall be kept reserved for Institute level guests, to be approved by the Director.
The Board rooms/Seminar Halls/Auditorium facility booking for the Department are subject to approval by the Competent Authority.
Individuals who are above 18 years of age are allowed to book VH/CC.
No Visitors will be allowed to stay with the guest in the VH/CC after 2200 hrs.
No pets would be permitted in Visitor’s Hostel and Community Centre.
The accommodation and other facilities are not open for public, business and other purposes, which is mainly for Academic and Research activities only.
The VH reception is a centralized place for coordinating various activities. Therefore, one trained receptionist should always be there to attend phone calls, coordinate activities in the VH and to attend visitors.
A minimum of 5 pax guarantee will be required for Non-Veg services in the dinning hall to be charged as per rules.
Extra facilities like fruit basket, cookies, wafers, pastries and beverages etc. in room service will be provided on a chargeable basis.
The seminar halls, VH auditorium and board room facility for holding Ph.D interviews and other departmental meetings from academic departments will only be accepted if the same is approved by the Director.
Guidelines - Specific to Community Centre
i. Allotment/Use:
The Community Centre is available on a first come, first-served basis, based on availability and approval by the competent authority.
The request for the use of space in the Community Centre must be sent to the Visitors’ Hostel in the prescribed form through the proper channel. All such requests must be sent to VH at least one week in advance.
Any damage or destruction to the Community Centre or the property therein shall be paid fully by the person, individuals or group booked the facilities. • Alcoholic beverages and other intoxicants are not permitted on the premises.
Smoking is strictly prohibited inside or around the Community Centre.
All materials brought into the Community Centre must be removed immediately after the event.
Nothing is to be stapled, taped or attached to any structure, plantings, walls, windows or doors in, around and adjacent to the Community Centre building.
No animals of any kind are permitted inside the Community Centre. Page 6 of 6
No fire crackers of any kind are permitted inside the Community Centre.
Music is not allowed to be played after 2200 hrs.
No refund on cancellation.
No outdoor/indoor games are allowed to be played inside the Community Centre.
ii. Approval for usage:
The operation and maintenance of the Community Centre is under the Visitors’ Hostel Management Committee.
The keys are kept in the custody of the VH Reception.
The allotment of the rooms and other spaces in the Community Centre is approved by the Chairperson, VHMC/Director.
In case of non-occupancy in the Community Centre, all entrance doors will remain locked and keys shall be kept available with VH Reception only. However, the community centre shall be kept open during 1600 to 1900 hrs.
The Community Centre office and the terrace will remain closed and only maintenance staff shall have access.
iii. Sound & Lighting arrangements:
If there is no booking and the Community Centre facilities are vacant, the lights shall be lit only at places like the porch, entrance lobby and fairy lights. However, even if a room is occupied then all lights will be switched on so that the occupants do not face difficulty, while making entry and exit at the community centre.
VH staff (Receptionist & Housekeeping Staff) will be responsible for turning the lights on and off in the Community Centre.
The caretaker residing in the CC shall be responsible for upkeep and locking of CC and its toilets.
